Respond quickly
Couples often book the first supplier who replies, so speed matters. A prompt and enthusiastic confirmation of availability (“Good news, I’m free on your date!”) immediately reassures them and keeps the momentum going.
Say thank you and use their name
It’s a small touch that makes a big difference. “Hi XXXX, thanks for reaching out” feels much more personal than a generic “Hi.”
Build a connection
Show genuine interest in their plans. Personalised messages that reference the venue or something they’ve mentioned work especially well (“I love shooting at XXX– the gardens there are gorgeous, and I’d be excited to capture your day there.”). Being warm, passionate, and enthusiastic often sets the right tone.
Ask questions
Keep the conversation flowing by inviting them to share more about what they’re looking for. This makes it easy to guide the discussion toward how you can help.
Always include a call-to-action
Clear next steps make it simple for couples to move forward. Suggesting a call is often the turning point (“Would you like to schedule a call for tomorrow to chat through your plans? You can use the ‘Book a Call’ button below.”).
Be helpful and flexible
Even if you can’t take the booking yourself, a helpful response (like recommending an alternative supplier) builds trust and sometimes still results in a booking through your network.
Follow up
If they don’t reply or complete a booking, check in. Often couples are just busy or distracted, and a friendly nudge puts you back on their radar.
